SIMS Support Sessions

We are pleased to advise that the Autumn SIMS Support Sessions are available to book via SLA Online – s4s.norfolk.gov.uk

Dates are available in Great Yarmouth, King’s Lynn and Norwich. Please can we ask that you sign up to these as soon as possible as if there are insufficient numbers we may have to cancel venues.

Email Addresses

At the start of the new academic year we would like to remind all schools to ensure that parents’ email addresses are up to date and correct. This ensures that our email servers are not potentially marked as sending SPAM emails by companies such as Microsoft or BT, as has happened in previous years.

Up to date tab files required for identity management and Google NSIX accounts

With the start of the academic year it is important that we ensure that our identity management system (IDM) is up to date. All schools that currently return tab files generated from their management information system will need to send us up to date staff and pupil files via Anycomms. These tab files are required to keep our IDM up to date and set up and manage your Google nsix accounts. We need to receive these files on a regular basis and ideally at least once a month.

We need to ensure these accounts are up to date, so if we do not receive up to date tab files we will have to begin the process of suspending Google nsix accounts for your school

If you no longer require your Google nsix accounts then please let us know.

E-safety monitoring for all schools with Google nsix email - Update

As detailed in the last eBulletin we have recently reviewed the e-safety set up for all schools that have Google nsix email accounts to ensure that all schools have monitoring set up and that their e-safety contacts are up to date. 

Overview: As part of the Google nsix email service we provide e-safety monitoring for all emails that are sent to and from your school’s nsix Google email accounts.  Our e-safety monitoring flags up any emails that are potentially of concern and sends a copy to the designated e-safety monitors at the school for review.

Before the summer break we asked all schools with Google nsix accounts to complete the form below. Thank you for all of the responses. However, if you have not completed the form and still want to set your designated e-safety contacts then please complete the form as soon as possible.

We have now completed the e-safety configuration, setting the contacts up based on the form responses where they were completed and using the head@ ( or equivalent )  email address for all schools that have not completed the form and have no existing e-safety contacts set up.

General Data Protection Regulation (GDPR) applying from 25th May 2018

General Data Protection Regulation (GDPR) applying from 25th May 2018

 

The GDPR (General Data Protection Regulation) will apply in the UK from 25th May 2018, changing the way schools manage and look after data and information; from paper in filing cabinets, through to the retention of student/staff records to monitoring day-to-day activities and security.

It is important that schools are aware of the changes and start planning their approach to GDPR compliance. Failure to comply with GDPR could see large fines issued for your school data controller.

 

GDPR is a complete change to current data protection and:

  • Strengthens & unifies data management
  • Makes it mandatory to report data breaches within 72 hours
  • 3rd party data processors must be GDPR compliant
  • Mandates need for formal contract and/or SLA
  • Issue fines for non-compliance up to 20 million Euro's or 4% of global turnover
  • Gives control to individuals

What are ICT Services 4 Education doing to support you through this change:

  • During September/October we will be arranging awareness sessions for schools and Academies. Details of dates and venues are below:

    • 9th Oct - Kings Lynn Innovation Centre

    • 17th Oct - Norwich Professional Development Centre
    • 14th November – Norwich Professional Development Centre

This is a full day session and there is a charge of £100 per person (lunch will be provided).  Booking is available via s4s.norfolk.gov.uk

 

  • We have procured a GDPR compliance portal service for schools to demonstrate compliance. This will be an optional service available as part of our portfolio.
  • We are working with all our Suppliers to ensure they will be GDPR compliant by May 2018 so we can provide you with this information.

IMPORTANT INFORMATION: Norfolk MIS Framework Update

Norfolk MIS Framework Update

 

Background:

The current Capita SIMS contract with Norfolk County Council expires on 31st March 2018 with no option to extend.  In response to requests from our MIS contract and non MIS contracts customers, we are keen to offer a Multi MIS offering to give you more choice when selecting a MIS system to meet your future needs. 

Norfolk County Council (NCC) have procured a framework for The Provision of a Management Information System (MIS) for Schools, Academies and Free Schools and is available for you to use regardless of your current MIS contract or supplier.   Norfolk Schools and Academies are not obliged to use this framework and can make alternative arrangements if they so wish.

It is anticipated that schools will join the contract from September 2017 – September 2018 dependant on when your current MIS contract expires.  NCC will be encouraging all our existing SIMS MIS contract schools to make a decision on the Framework by 31st December 2017 to allow for any migration activity during early 2018 if you wish to change MIS.  

Timescales:

The Framework is now available and quotes can be requested via S4S.norfolk.gov.uk.  There are further MIS supplier demonstration days for you to view the systems available during September.

It is recommended the Head, Business Manager, Data Manager and School Secretary attend so you can make an informed decision for your school.  Details of the events are below:
